New Webschedule Release
A new release of the webschedule program has been implemented.
Here are highlights of the basic changes:

===== New November 2006 Release for Exam room and parking booking =================

We have added online scheduling systems for use of the exam room and for arranging for parking passes for subjects (there is no charge for these resources).

1. Exam room: Similar to the webschedule program (http://fmriwebapp.ucsd.edu:4600), your PI account on the 3T scheduling system should work to log in; if not please email Eman Ghobrial ( eghobrial@ucsd.edu ).

2. Parking reservation: This is an open source application which will email Center Admin Staff. We created accounts for the current list of PI’s. If you are a PI, and there is no account for you, please email Peter Wong at ( pywong@ucsd.edu ).

Parking options: We have a single reserved spot outside the Center, and two multi-day parking passes for the A-lot. The reserved spot should have a priority for subjects who have difficulty walking. Note that all three passes are only for subjects.

Instructions to reserve a parking spot:
1. Navigate to the URL http://cfmriweb.ucsd.edu/booking/ and login
using the PI’s email address and password (the preset password is
‘booking’). Then you will be automatically forwarded to My Control
Panel.
2. My Control Panel is the "Home Page" for each user. You will be
able to view, modify and delete your upcoming reservations. The
list of reservations is sortable in ascending/descending order
based on column name.
3. To make a reservation, click on the ‘Bookings’ link on the left
hand-side menu
4. Click on any time slot that you would like to book and a pop-up
window will appear, within which you can select a start and end
time. Please enter the short summary in the summary book. Notice there are three rows for each type of parking slot (A Permit 1, A Permit 2, and Reserved Parking).
5. Please pick up the parking permit from Center Admin Staff before the scheduled time frame.
6. To cancel a reservation, select the reservation you want to cancel
and check the delete box in the pop-up windows and click on save.

 

===== October 2006 New Release Information ===========================

In order to help support the new policies, particularly for tracking Operator actions and responsibilities, the Webschedule program has been updated with several features:

1. Several fields have been added to keep track for each Operator of the date of the last time they scanned, the date of their most recent completion of the online Safety Test, and the date when recertification will be required.

Notes:

a. Since the Operator last scan date is a new field we will start with the Date set to Nov 1, 2006 for all Operators.

b. Operator status will be ended if one of the following conditions applies:

i. 4 months have elapsed without the individual serving as the operator of record for scanning session. To reactivate Operator status, the PI has to email cfmri@ucsd.edu to schedule refresher operator training.

ii. The Operator did not take and pass the online safety test.

iii. The PI has indicated that the individual's services as an Operator are no longer needed or the PI failed to renew their request for Operator status for that individual.

2. A complaint form has been added as part of our webschedule program.
This is designed to allow Operators to report situations such as a late finish by the previous group, the scan room and peripheral equipment were not left in their standard configuration, etc.

Notes:

a. A complaint has to be associated with a certain time slot, to access the page:

           Please login to the webschedule, click on the event that you want to associate the complaint with (the event has to be owned by the user logged  in), and choose the "Submit a Complaint Regarding this Session" option.
Fill in the Form and click on submit.

b. It is the Operator's responsibility to leave the scanner and console room in the default condition and end the study on time, so please report any problems in these areas and give a brief description.

3. It is very important for the webschedule to reflect accurately the designated scanner Operator for a study, because they are responsible for what happens. The webschedule program allows you to change the operator for a slot if needed (such as a last minute change of plans).
If the designated Operator needs to be changed after the fact, please email Eman Ghobrial at eghobrial@ucsd.edu.

 

 ===== May 2006 Release Update ===========================

1. Notification of cancelled slots: If you want to be notified when a previously scheduled slot has been released, a notification mailing list for each scanner is available. If you want to be added to the list, please email me at eghobrial@ucsd.edu, and include your name, which scanner, and the emails you would like to be added to the list.

2. Canceling slots:You can cancel or change a slot up to a few minutes before the event starts. If you scheduled a long block of time but have only used part of it, you can cancel the rest of it by editing that block to change the end time. Remember that the program only deals with half-hour blocks.

3. Cancellation penalty: Regarding the new cancellation penalty, if a slot or a partial slot has been cancelled less than 48 hours before it starts and remains unused, the total number of unused hours will be deducted from your pilot project hours at the end of the month when we do the billing (if the project used to book the slot is an unfunded project, they will be deducted from the total number of hours allocated for that project). The pilot hours for a project can hold a negative value that will be offset by future pilot hour awards.

4. Scanner downtime: If the scanner goes down, and we have an estimate of how long it will be down, all of the previously scheduled slots within that time window will be switched to a different category ("tech_diff"). If you choose, you can reclaim this slot in case the scanner comes back up earlier than expected through email me @ eghobrial@ucsd.edu , but you will not be penalized for last minute cancellations of the slot. If the scanner is down and Center personnel have not yet responded with an estimated down time (which may happen on weekends), please report the problem online and email me @ eghobrial@ucsd.edu, and I will remove the scheduled slot manually.
